What if my child has additional needs?

At COOSC, we believe every child deserves the opportunity to thrive, and we are committed to creating an inclusive environment where all children feel safe, supported, and valued. We welcome children with additional needs and will work closely with families to ensure the right supports are in place for their child’s wellbeing and success.

In some cases, we may be able to access Inclusion Support funding to provide extra assistance, resources, or adjustments tailored to your child’s individual circumstances.

If your child has a diagnosis, or if you have any concerns about their development or needs, we encourage you to contact us as early as possible. This allows us to begin planning together and, if required, apply for additional support so that your child has the best possible experience at COOSC.

Meal Times & Dietary Requirements

COOSC ensures that all children’s dietary needs are respected and catered for during meal preparation and service.

 
  • Breakfast is available from 7am until 8:20am.  
  • Afternoon tea begins once we have finished our sign in process, which is usually from 3:15pm.
  • A late snack, which consists of fruit and crackers, is available at 5:20pm every aftercare session.

Is there a membership fee?

Yes, every family at COOSC is required to pay an annual membership fee when they enrol/re-enrol at the centre each year. Please refer to our Fees & Payments page for up to date fee information.

What if I am running late to collect my children?

What is the procedure if I am running late to collect my children from an after school care or Vacation care session?

We understand that sometimes there are unavoidable circumstances that may mean you will be running late to collect your child. In this instance, you need to call or text COOSC to notify them that you are expecting to be late and give the staff member your estimated time of arrival. Any child collected after 6:00pm will incur a fee. Please refer to our Fees & Payments page for up to date fee information on the late fees.

It is a requirement for our families to add a minimum of 2 Authorised Contacts to their child/ren's enrolment to avoid late fees and ensure a safe and timely pick up. You can add these Authorised Contacts via the XPLOR app under the account tab, in contacts.

Where can i find help using the Xplor App?

we have a range of "Help Guides" that may assist you with navigating, update and the general use of the Xplor App.

Xplor also have a range of helpful videos that may assist you. 

How do i sign my child up for the Extra Curricular Activities?

The school organises many extra-curricular activities that you are able to enrol your child/ren into. These are run onsite during after care hours. If your child will participate in one or more of these activities, you will need to complete an extra-curricular permission form (see button below).

Once this is complete, your child/ren may attend their extra-curricular activities and the COOSC staff members will ensure the children arrive at their ECA and return from their ECA at the conclusion of these activities.

What is The National Quality Framework (NQF)

At COOSC, our service is guided by the National Quality Framework (NQF), which incorporates the Education and Care Services National Law and Regulations. The NQF sets a national standard to ensure every child in Australia, no matter where they live, has access to high-quality education and care.

It supports services like ours to reflect, grow, and continually enhance what we provide, while also giving families clear information and reassurance when choosing the right environment for their child.

What happens to my bookings at the end of the year?

As we approach the end of term 4, you will receive an email from COOSC. This email will advise you that your current booking pattern for your child/ren will be rolled over into the new year. If you wish to make any changes to your booking pattern, you simply reply to the email with your requested changes.

My details are the same as last year, do I need to complete a re-enrolment?

No, once you are enrolled you do not need to re-enrol. We do encourage you to email us if there are any changes to your details.

How much are the fees at COOSC and how do I pay them?

Please refer to our Fees & Payments page for up to date fee information on the Centre fees. All fees and charges are paid via direct debit.

Can I pay my fees at COOSC with Cash or Cheques?

No. Clovelly OOSC is a cashless centre which means that we cannot accept cash or cheques as a form of payment, apologies.

How often do I get billed?

You are billed weekly, every Monday at 1pm. Please ensure you have adequate funds in your account by 12pm as this is the cut off time for our direct debit service.

Where can I find my statements?

These can be found in the finance tab of your Xplor Home App. Alternatively you can email a request for your statement at any time.

What is the Childcare Subsidy? Am I eligible for CCS?

The Government assists eligible families with their childcare fees by making a payment directly to the service (in the form of The Childcare Subsidy (CCS)  that is passed on as a fee reduction (visible on a family’s statement). Families are then required to pay the difference between the fee charged and the subsidy amount – the “GAP”.

The basic requirements that must be satisfied for an individual to be eligible to receive CCS for a child, include:

  • The child must be 13 year old or younger and not attending secondary school
  • The child must meet immunisation requirements
  • The individual, or their partner, must meet the residency requirements

To determine the CCS percentage and number of eligible hours / fortnight you will be entitled to, Centrelink reviews and assesses:

  • Family income
  • Results of an Activity test – The combined hours of Approved Activity completed each fortnight (ie work, training, study, recognised voluntary work or other recognised activities) The number of hours the family is entitled to is based on the individual with the lowest activity test results.
  • Type of childcare service (OSHC), which determines the hourly rate cap If you wish to estimate your CCS, please use the CCS Calculator

How do I apply for Child Care Subsidy (CCS)?

  1. Make a claim – lodge a Child Care Subsidy Claim via the MyGov website

If you do not have a MyGov account, you can create one on the myGov website.

How do I claim CCS through the Centre?

  1. Agree to the Complying Written Agreement – This is also known as enrolling at the Centre. PLEASE NOTE: The Guardian on the enrolment MUST be the parent who has been assessed for CCS.

In order for WRBASC to make a link with Centrelink, the following information must be provided as part of the enrolment (or shortly after):

  • Guardian registered to receive CCS
  • This person’s CRN
  • This person’s DOB
  • Each child’s CRN
  • Each child’s DOB
  1. COOSC will submit a CCS Enrolment Notice to Centrelink, providing the above 5 pieces of information, along with the typical pattern of attendance, fees and session hours.

This will update your child’s CCS Enrolment status to one of the below:

Pending Eligibility

This means the family has not yet been assessed for CCS. This could be either due to:

  1. The CCS Claim not being submitted or completed;
  2. Centrelink having not completely assessed the claim;
  3. The parent that is approved for CCS (with Centrelink), is not the parent that is registered as the guardian in the OSHC system.

ACTION REQUIRED:

  • Review and determine the reason for the CCS Status being Pending Eligibility and address this reason.

Received

 This means the 5 pieces of information provided at enrolment time or the combinations do not match the Centrelink system.

ACTION REQUIRED:

  • Review the 5 pieces of information provided and advise WRBASC Admin of any updates

Pending Confirmation

Enrolment information has been sent to CCS and the 5 pieces of information supplied match the Centrelink system. There is now a requirement to confirm the CCS Enrolment

ACTION REQUIRED:

  1. Log into your MyGov account
  2. Select Centrelink
  3. Click on the Menu (3 bars top left of the screen)
  4. Expand Childcare Subsidy
  5. Click on Enrolments – check all your children have an enrolment status of Confirmed. Action any that don’t by clicking on “Review”.

Centrelink will automatically advise CCS % reduction and number of fortnightly hours (+ withholding percentage)

What is a CRN?

A CRN is a ‘Customer Reference Number’ Centrelink uses to identify your personal record. A CRN is a 9 digit number and ends with a letter.

What is a ‘Received’ enrolment?

This means enrolment information has been sent to CCS however there is some information that is either missing or doesn’t match with Centrelink records. This is usually the CRN for the claiming parent or child / DOB.

Why has my child’s CCS enrolment ceased?

When there has been no attendance for 14 Weeks, Centrelink will automatically update the Child’s CCS status to ‘Ceased’.

When Centrelink updates an enrolment to Ceased, they review the child’s submitted attendances/child’s last physical attendance at the service. Where CCS has been paid, Centrelink will automatically recover any CCS paid for absences after the child’s last attendance.

myGov CCS Absences InformationCOOSC will send a new CCS enrolment to Centrelink, either the week prior to or the beginning of the week bookings recommences at the centre. You will need to log into your MyGov account and confirm the new CCS Enrolment. This can be done by following the below steps:

  1. Selecting Centrelink
  2. Clicking on the Menu (3 bars top left of the screen)
  3. Expanding Childcare Subsidy
  4. Clicking on Enrolments – Confirming each child’s CCS enrolment
